At VMA Captures, we want every photoshoot to be a smooth and enjoyable experience. Please review our policies carefully before booking your session.
Booking & Payments
A 30% non-refundable deposit based on the total price of your selected photography package is required to secure your appointment. Your booking is confirmed once the deposit has been received. The remaining balance must be paid on the day of your photoshoot.
Late Arrivals
Clients are given a 15-minute grace period after their scheduled appointment time. After the first 15 minutes, a late fee of $3 per additional minute will apply. Arrivals exceeding 30 minutes past the scheduled appointment time will result in automatic cancellation of the session.
Cancellations & Rescheduling
All cancellation and rescheduling requests must be submitted at least 24 hours before the scheduled session. Requests made less than 24 hours before the appointment are not eligible for cancellation or rescheduling, except where required by applicable law. Rescheduling requests are subject to availability. The original non-refundable deposit will not be returned.
Refund Policy
All booking deposits are non-refundable. If a client cancels within the permitted 24-hour notice period, the deposit will not be refunded. Payments made beyond the deposit will be reviewed in accordance with our cancellation policy and applicable law. No-shows and late arrivals resulting in automatic cancellation are not eligible for refunds. If VMA Captures must cancel a session and cannot provide a suitable rescheduled date, payments received for services not provided will be refunded.
Weather & Outdoor Sessions
For outdoor sessions affected by rain or unsafe weather conditions, VMA Captures may offer a rescheduled date. Weather-related changes initiated by VMA Captures will be communicated as early as possible. Rescheduling is subject to availability.
Photo Delivery & Editing
All delivered photographs are professionally selected and edited according to the VMA Captures style. Final edited images will be delivered digitally within the estimated turnaround time communicated for your selected package. Unedited or RAW images are not included.
Outfits & Session Preparation
Clients are encouraged to arrive prepared with any outfits, accessories, or personal items they wish to include. Outfit changes count toward the scheduled session time.
Location & Travel Fees
Travel within a 30-mile radius of our designated starting location is included in your package price. For locations beyond the included 30 miles, an additional travel fee of $5 per mile will apply for every mile beyond the included distance. Any applicable location fees or parking fees will be communicated before your session if applicable.
Photo Usage & Privacy
VMA Captures may use selected photographs from your session for our portfolio, website, and social media platforms unless the client informs us otherwise. If you prefer to keep your photographs private, please notify us before your session. We respect our clients’ privacy and will honor your request.

Please ensure that the contact information provided during booking is accurate. Any questions, special requests, or changes should be communicated to VMA Captures as early as possible.
